SECRETARY TO CHIEF OF STAFF (Salary: An all‐inclusive salary package at Level 8 per annum – R228, 557.26 p. a)


  • Grade 12, with relevant secretarial qualification with a minimum of three years’ experience;
  • Computer literacy in computer software packages and database developments with appropriate legislative and institutional archival function;
  • Knowledge of filing and records management systems and procedures;
  • Good organising and project management skills;
  • Good command of English including minute taking skills;
  • Interpersonal and problem solving skills;
  • Intermediary computer literacy in Ms Word and Excel;
  • Able to work with confidentiality;
  • Good understanding of ANC Policies;
  • Sound institutional communication skills, information management and technology skills;
  • Ability to work under deadlines and set priorities; and
  • ANC membership in good standing.

Key Performance Areas:

  • Provide secretarial and administrative support to the Chief of Staff in an efficient and highly professional manner to ensure adequate support;
  • Welcomes visitors to the Office of the Chief of Staff and notify the Chief of Staff of the visitors;
  • Maintains the smooth running of the office by screening calls, taking messages, managing the diary of the Chief of Staff and redirecting calls accordingly;
  • Relays general office related information to callers, where appropriate refer to the Chief of Staff;
  • Check emails, mail on daily basis for incoming correspondence requiring attention of the of the Chief of Staff;
  • Request, receive and package information/documents for meetings of the Chief of Staff;
  • Keep a proper database and filing system for the Chief of Staff;
  • Provide secretarial support in all meetings of the Chief of Staff;
  • Ensure constant and timeous flow of information between the Chief of Staff and offices of Chair of Caucus, NCOP Chief Whip, Deputy Chief Whip and Chief Whip;
  • Participates in scheduled Political Activities of Caucus when required e.g. Lekgotlas; and
  • Complete travel claim forms on behalf of the Chief of Staff and order catering and other office consumables.
